Pre-Convention Events

All Mass Media entries will be submitted through a file upload process directly on our website. The deadline for uploading files is February 2, 2020, so please get them uploaded early in case you have any problems. Please do not wait until the last day to upload the files. We recommend you use the Mozilla Firefox web browser when uploading files. Please limit all files to a maximum size of 60 MB. Scholarship applications must be completed by February 2, 2020. Go to the Scholarship page to access the online application.


Hotel Information

Hotel Accommodations:

Hotel rooms will cost $120.00 per night (quad occupancy), plus 12.63% tax* (as of April 2018) plus a 1% surcharge for the Orange County Convention Center. Rates are available from Wednesday through Sunday of convention week.  Rollaway beds are $15 per night, plus tax. Hotel restaurant information can be found here.

Suites/Team Pads:

The following are the suites that are available. The rates are per night, plus tax and are 50% off of the rack rates.

  •  One Bedroom VIP Suite: $400.00

  • Two Bedroom VIP Suite: $550.00

  • One Bedroom Executive Suite: $500.00

  • Two Bedroom Executive Suite: $650.00

Room Blocks:

Groups that attended this convention site last year and reserved hotel rooms will be given a starting block of rooms based on their usage the previous year. The starting block of rooms may not be the same as what the group used if rooms or room nights were cancelled after the registration deadline last year. From the opening date for registration until January 6, 2019, the blocks of rooms assigned to each group are theirs only. Groups must place people in those rooms in our registration system by January 6 in order to secure them. At the end of day on January 6, all rooms that have not been claimed by assigning names to them will be released into the overall pool of rooms for anyone to request. Note that groups that had no rooms in the hotel the previous convention year – whether they are new groups, groups that simply did not need rooms, or a group that changed convention sites – will be able to request rooms beginning on January 7, 2020.

Tax Exemption:

Tax exemptions for churches are available through the Florida Department of Revenue. With the tax exemption, all tax is exempted. You will still have to pay the 1% surcharge for the convention center. Please fax your tax exemption letters to Carema Thomas-Swan at 407-996-3169 prior to March 8. Go to www.myflorida.com/dor and follow these steps to apply for exemption:

  1. Click “Taxes” at the top of the page;

  2. Click “Forms and Publications” on the left side of the page;

  3. Click “Download this form” next to Form DR-5;

  4. Print and follow instructions on the form.


All rooms have a coffee maker, iron and ironing board, hair dryer, phone with voice mail, safe, and mini-refrigerator.

Reservations and Changes:
 **Please do not call the hotel directly for reservations or changes.**

So that the hotel can accurately block your group’s rooms, you must have the total number of king and double/double rooms indicated by the registration deadline. After the registration deadline, group leaders will be able to make changes to their group’s hotel reservations in the registration database until midnight on March 8, 2019. The information in your reservation database on March 8 will be considered your final request. Any changes, except room cancellations, made after March 8 will be accommodated if possible, but are not guaranteed. Please make every effort to have all reservations finalized by the March 8 deadline. Adding rooms after this date may not be possible. If they are able to be added, they will most likely NOT be near your group’s other rooms. Please request all rooms that you will need by March 8, 2020. Please note that any cancellations MUST be made no later than five days prior to arrival. Any no-shows or cancellations after that will be charged one night’s room and tax. Please make sure that all requested rooms are used to avoid these penalties.

Check-in: After 3:00pm                     Check-out: 11:00am

 Special Requests: (Low floor, adjoining room, king beds, near elevator, etc) are not guaranteed. Our front desk team, however, will make every attempt to honor these requests, if available.

 Hotel Guarantee: All reservations require a credit card to guarantee the rooms.

Please contact Carema Thomas-Swain at the hotel after Wednesday, March 18, 2020  with a form of payment to guarantee the first night's room and tax.  Please note that an authorization of one night’s room and tax will be requested on this credit card five days prior to arrival for each booking.  Debit Cards will show a debit in the account at this time. Reservations not guaranteed by Wednesday, April 1, 2020 may be subject to cancellation for non-guarantee.

All requests for changes to hotel reservations must be requested through the online registration system.

The group leader should choose a person to be the hotel room coordinator. This person should be the first to arrive and the last to leave. Your hotel room coordinator can check in and check out your group. 

Parking Information:

Self-parking is included in the room rate. Valet parking is available at the prevailing rate and will be billed to your room.
